The importance of monthly accounting
We often find ourselves having to explain to businesses why it is important to have your accounting records up to date – SME’s in particular. If you have someone who is full-time employed to perform these functions we would say that you are almost getting the full value. You still need to assess the impact, of decisions, on cashflow, VAT & income tax. Staying up to date with the amount of VAT you need to pay and what possible impact your provisional tax will have on cashflow (and whether the business can handle the needed provisional tax) is essential.
So many business are not prepared for their VAT and Income-/Provisional tax payments and this can leave the business with penalties and interest on the respective accounts. Yes, these penalties can ordinarily be cleared quite easily with an objection, but remember that SARS has a “Pay-first-object-later” approach and philosophy. If you are using an independent accountant or bookkeeper; you will need to assess what you are paying for. Does the fee justify the service? Too small a fee is also not always a good indication. An independent accountant has industry-wide exposure and in-depth tax knowledge which is at your disposal.
The value of processing monthly accounts and the reports generated is vital. It is also required by the Companies Act. In addition to this; covers your business by obtaining the service of a registered accountant or bookkeeper. Accountants can be registered with : SAICA; SAIBA & SAIPA (there are other regulatory bodies, but do proper research). Bookkeepers can be registered with ICBA. The importance of having a registered independent bookkeeper/accountant protects your business when you feel that you have been wronged in some way. Registered accountants and bookkeepers are obligated to stay up to date with professional development, law, compliance and taxes.
